Step 1: The Discovery Call

Every trip begins with a dedicated discovery call with Tabetha. We will discuss your travel style, brainstorm destination ideas, and determine how we can best assist you. During this call, you can choose the package tier that fits your needs best:

Full Concierge Package: For leisure travelers seeking custom itinerary design, dedicated service time, and complete end-to-end management.
Individual Service Package: For travelers seeking assistance with specific single components like flights or specific activity bookings.
Meetings & Large Group Requests: Tailored coordination for corporate retreats, incentive trips, and large group gatherings.

Step 2: Proposals, Alignment, and E-Signatures

Tailored Options and Group Governance

For Full Package leisure requests, Tabetha provides up to three custom itineraries designed around your preferences. For Individual Service Packages, options are delivered in one concise request for your review.

To ensure total clarity across your travel party, all adult travelers must electronically sign off on the chosen itinerary alongside a secure Credit Card Authorization Form before any bookings are finalized. This ensures everyone in your group stays aligned and on the same page.

Step 3: Core Bookings, Continuous Flight Monitoring, and Rolling Add-Ons

Secure Your Foundation and Continuous Air Oversight

We secure your primary flights and hotel stays during our initial booking phase, along with comprehensive travel protection recommendations.

Once your flights are booked, our dedicated team actively monitors your air reservations behind the scenes. If an airline issues a schedule change, we notify you immediately. Should the new flight times not work for your schedule, we personally assist you in navigating alternative flight options with the airline to secure an itinerary that meets your needs.

As your trip approaches, you can reach out anytime to layer in private transfers, tickets for sports events and shows, or hard-to-get dining reservations.

Step 4: Pre-Departure Care and Direct Hotel Verification

Personal Packing Lists and VIP Check-Ins

Two to four weeks before you depart, Tabetha hosts a pre-departure call to walk through your final trip details and mails a customized physical packing list right to your door. Behind the scenes, we contact your hotel directly to re-confirm your reservation and advocate for an extraordinary stay.

Step 5: In-Destination Support and Issue Resolution

Travel is never completely perfect, but you will never have to navigate mishaps alone. We check in with you while you are away. If an excursion needs changing or a vendor falls short, we reach out on your behalf so you do not waste precious vacation time dealing with issues.
